As a foreign trade manager, it is universal known that strong performance is the fundamental. To struggle for this, we have to schedule plan within our capability and finish it, customer tracking, study, numerous meetings and so on ( we should finish 8 things everyday ). To be more efficient and logically, so I choose to use an efficient task management software to get things organized and handled efficiently in my daily work. Its helps me on:
1.Schedule task plans :
In November, our team needs to finish $15W sales task, 4 trains, 5 meetings, read 2 books and share together…. If we do not write them down, I believe I will forget in 3 days because of my bad memory. Of course, I have to averagely schedule all tasks into the software, then the software will put them in order automatically. Just one click, tasks will be shown vividly by day, week, month, even years.
2.Task decomposition, time schedule,and progress tracking.
To finish each task perfectly, I have to decompose them and handle one by one.For my sales task, I decompose as week 1—2W, week 2—5W, week 3—-5W and Week4—3W and share to related team members; Training is on every Wednesday afternoon; Reading is for relaxation at 9:00-10:00 every night. Once done, I will mark as finished or in progress with percentage. Whenever I open the software, I will know what I have done and what are rest in this month.
3.Remind at right time.
It is impossible to focus on work all the time: unexpected call, client visit, urgent meeting, questions from colleagues,etc may interrupt in the middle. Just few minutes or hours later, we totally forget work in hand and go for next one. However, the task manager will remind in advance, at right time or after which can ‘pull us back’.
Same as planning, we usually forget what we have done. But in the to do list software, we can obviously know what we have done today/ week/ month/ year and so on to help make a summary easily.
5. Share tasks and remind them among my team groups. Whatever I wanna allocate tasks to team members, remind or track the progress of tasks. I do not need to talk to them face to face, only click the Assign button, the tasks are assigned to related people, I can central control all data easily…
